ICS2: Everything you need to know to keep your cargo on course

Shipping cargo across borders is fast-paced, and keeping things on track is our priority at Virgin Atlantic Cargo. With new ICS2 regulations now in place for shipments to the European Union (EU), Norway, and Switzerland, we need a bit of help from you to ensure your cargo gets where it needs to go—without delay.
ICS2 (Import Control System 2) is all about ensuring the safe and smooth movement of goods into these regions, and it requires a few extra details from you ahead of time. No big deal—we’ve broken it down so you can stay focused on what matters most: getting your shipments to their destination, right on schedule.
What you need to know about ICS2?
ICS2 is the EU’s advanced customs system that applies to all air cargo, express, and mail entering or passing through the EU, Norway, and Switzerland. Simply put, it’s a security check that happens before your goods are loaded or arrive. This means we need certain data before we accept your shipments to ensure a smooth process.
The data we need from you
Getting the right information to us early ensures there are no surprises down the line. Here’s what we need to keep your cargo moving smoothly:
- HS Code (Harmonized System Code)

- EORI Number
An EORI number (Economic Operators Registration and Identification number) is necessary for shipments going to the EU. Think of it as a unique ID for businesses trading goods internationally. If your consignee is based in the EU, make sure their EORI number is included. For more information, please check the website of the European Comission.
- Postal Code
It might seem obvious, but accurate postal codes are a must for customs. Missing or incorrect codes can delay your shipment, so double-check that you’re using the right format for your destination. - Phone Number
International format is key here. Using the correct format ensures that all communications stay clear and connected throughout the shipping process. It's important that you use the right international format for your phone number in your FWB and FHL data. Please click here for more information about the relevant international standard.
It is mandatory to include these elements in your FWB/FHL data to avoid eventual rejects by EU Customs entities. Virgin Cargo provides a messaging guidance document for both FWB and FHL messages to help you as a customer to see how ICS2 data, such as the HS code and EORI number, should be transmitted.
